03 - Receipt Management

The Receipts module lets you view all the payments you have received from your customers. You can view the payments recorded for your invoices.


Create a New Receipt

To record payment from a customer:

  • Go to Receipts tab.
  • Click New button in the top right corner of the page.
  • Fill in details in the New Receipts page.
Fields
Description
Entity
Select the Entity against which you want to record this receipt.
Receipt No
The default transaction series will be used. Choose a different one, if needed.
Date
Enter the receipt date
Receipt Account
The Receipt Account is typically a cash or bank account where money is received.
Amount
Enter the total payment received from the customer.
Payer
Select the payer (Customer) from whom you have received the payment.
Credit Ledger
Think of the Credit Ledger as the flip side of the Receipt Account — it’s the GL account that gets the credit when money comes in. Typically, liability GL accounts like 'Advance from Customers' go here.
Memo
Add notes

            

  • Click Save at the bottom of the page.


You can also perform the following actions on recorded receipts:


Match Invoice

Match a recorded receipt to an invoice:
Go to Receipts, select a receipt, click Match, enter the amount (auto-filled), and click Save.


Record and Split Receipts

Record receipts and split them across one or more invoices, fully or partially.


Over Payments

If the received amount exceeds invoice total, the extra is saved as excess payment.


View Receipts

Go to Receipts, select any receipt to view its details.


View Matched Transaction

Open a receipt and click Matched Transaction to see the linked invoice(s).


Edit Receipt

Go to Receipts, select a receipt, click Edit, make changes, and Save.


Delete Receipt

Go to Receipts, select a receipt, click Delete, and confirm.


Void Receipt

Click Void on the receipt page to cancel the transaction while keeping a record of it.


Attach Files

In the receipt’s Notes & Attachments section, click Upload Files or drag and drop. You can Download, Delete, or Remove files later.


View Journal

Open a receipt and click View Journal to see the related journal entry.


Send Email

Select a receipt, click Send Email, review the preview, and Send.


Download/Print PDF

Click PDF on the receipt page to Download or Print the receipt.
